August 4th, 2022

Attendance - Lindsay, Natalie, Shelby, Reilly, Maya

 

Notes - 

 

Plant Sale Recap: not as many people attended as we would like, but vendors were super excited about it and happy with their turnout; were not upset they went.

Reilly: Stressful but vendors were super happy

Profits: Venmo $195 (not sure what vendors showed up and didn’t pay)

Successes: Getting Vendors

Fails: Getting Mortar Board members to attend; need to increase foot traffic 

Repeat in Future: Would need more planning if we do it again, if we do it again it should be in the spring and for a shorter amount of time and a different location (maybe where we do trunk or treat). People will need to bring their own setups and make sure it is adaptable to the weather.

 

Tabling Event on August 20: 3 time that we will be tabling (12-1, 1-4, 6:30-7:30); we need members to sign up to table, people should be on campus, need 2 people at the table at all times. 

Will be sending out an email requesting donations to purchase baked goods, or make the baked goods.

 

Reilly will not be attending the conference; will not be asking other members to attend, but the $350 is paid and non-refundable.

 

Implementation of attendance regulations and minimum volunteer hours to remain active in the Pallas Chapter (Natalie, Reilly and Halley will be handling this). Want to have people involved more and have people be passionate about Mortar Board. Will be coming out around the 18th of August, which is our first in person meeting of the semester.

August 11 meeting: Halley will be leading it

Will be sending out a poll for location of first in person meeting

Natalie will be emailing people who haven’t been participating to check in on them about interest in continuing in Pallas Chapter. 

 

Trunk or Treat: Start planning, dates to do this, POC, help from Alumni

THIS IS A MANDATORY EVENT

October 23rd (Sunday) for Trunk or Treat

5 spots available to donate and not attend, all the rest MUST attend

1-2 hours

4-6p

Maybe get a popcorn machine, and MB members go to dinner after?

Needing hotdogs, buns, etc.  

Will be going to dinner after, you don’t have to buy food but it would be nice to have people join us after.

July 21st, 2022

Notes - 

 

Natalie will be sending out an interest form to volunteer for the move-in event Aug. 17-19

We will need to share our interest or non-interest by August 1

 

There is no new tabling information, but we should get some soon

 

Natalie would love to see more media recruitment opportunities/outreach as well as another in-person recruiting event (the tabling event will act as on of the in-person recruitment events)

 

Starting in August, we will begin requiring service hours and possible other things. We may be adding a porpationary period to those who do notparticipate/fill the minimum requirements of a Mortar Board member

 

Parking behind the Red Barn will now be available to vendors and other consumers at the plant event will be directed to U Club

 

Natalie is making a public expense report to fill out if anyone makes a purchase on behalf of MB and needs to be reimbursed

July 14th, 2022

Notes - 

  • Reilly is going to the National Conference 

  • Need a membership chair 

    • Michelle (current Alumni Chair) would rather take the membership chair

    • Elections for Michelle’s position (Alumni Chair) will be held before the start of the school year

    • We don’t have the original election form yet  

  • Trunk or Treat preparations will start in August because we are working on fundraising and the plant sale

  • No dates for the tabling event yet (August 20th)

    • Natalie is going to email Peyton 

  • Michelle brought up ways we are able to accept donations from outside sources for our tabling events 

    • We would need to be prepared with official letterhead, a point of contact, all the event details, tax ID number

    • Home DePot is a good resource for water bottle donations

    • We should ask alumni if they want to help donate baking and supplies for tabling 

  • Plant Sale Fundraiser (11:30 - 4:30)

    • 25 vendors have been signed up

    • We need to work harder on bringing in more customers 

    • Trying to get it on the UofL events page but it is on the calendar

    • Send it out on social media

    • Parking - UClub lot and North information lot would be free, checking on prices for the Floyd lot 

      • Need to make signs to direct - volunteers?

    • Need to ask Maya if the vendors have paid and confirmed their spot? 

      • 3 @ $25 and 3 @ $10 

    • Trying to send flyers to farmer’s markets pages and craft show pages on social media 

    • We need to purchase plain white signs from our funds so that we can direct customers and vendors 

    • We need volunteers!!!! Service hours in return

Elect a new membership chair around August; email Jacob to see who was on the ballot

 

Tabling event should also act as a recruiting event

 

Make a mortar board venmo

 

Parking: University Club free, North information center free, Floyd Parking free

 

Market plant drive a lot and make it anything “nature” themed (not a thrift, no clothes)

 

Additional notes (may repeat ideas presented above):

There is a member in mortar Board who works with student organizing events, Payton. We could use her help in getting our time slots for August. This is in reference to the incoming freshman events that are planned. 

Need a membership chair position in August. Will be looking at individuals who got second for office positions to see if they would like to fill that position.

Currently have three 25$ vendors, with two pop up vendors, Lindsay is one of those pop up vendors.

Members will post on Facebook and other media about our upcoming plant sale. Plan to expand plant sale to any nature themed items. Potentially put advertisement for sale into TV in the sac. Natalie may reach out to coffee shop owners to post flyers.

Parking for the vendors U-club parking will be open. Floyd street garage is not free, but is an option. Can also park for free in North information center.

Potentially use QR codes for venmo to handle transactions for the vendors.

Charge venders before hand so that we can have tables ready. That way when they show up then we are all good to go. Plan on using a singular account for venmo. Allow vendors to sign up but give them a deadline 72 hours beforehand. Maybe link Venmo to organization’s bank account.

GENERAL:

  • Meetings will now be weekly; kept on Thursdays at 6

    • All meetings for June and the beginning of July will be online 

 

FUNDRAISING:

  • Natalie will be sending an email to Julia (RSO coordinator) about getting a Welcome Week location

    • Reilly and Gerry will be copied

  • Putting a pin in engineering event

  • Rival school gear or professors for the dunk tank

  • Next week (6/23) will be planning the fundraiser

 

UPCOMING MEETINGS:

  • Alexa will be going to the national conference, a vote will be taken next meeting

    • Transportation will be discussed later on

  • 6/23 will focus on planning the framework for the fundraiser in August during Welcome Week

    • It is expected that we will be doing Welcome Week for two days: one day at the beginning of the week and one at the end
